How can we design and facilitate team meetings and workshops that generate both clarity and energy?

Effective and energizing Meetings and Workshops

The team entered the workshop facing the challenge that a large portion of their working hours was spent in meetings, which were perceived as lengthy, unstructured, and ineffective. Decision-making processes dragged on, conversations were dominated by a few voices, and genuine participation was difficult to achieve.

During the workshop, we collaboratively analyzed the existing meeting practices and reflected on the patterns shaping team collaboration, identifying where meetings drained energy rather than generating impact. We explored what makes meetings productive and effective, and what conditions are needed to enable focus, engagement, and sound decision-making.

Using real meetings and workshops from the team’s daily work as examples, the team clarified different meeting types, their respective objectives, and developed suitable formats for various purposes. Building on this, we designed clear yet flexible processes for meetings and workshops that provide guidance while leaving space for interaction and collaboration.

We also focused on the role of facilitation. The team defined the attitudes, responsibilities, and core tasks of effective facilitation and introduced additional meeting roles to distribute responsibility and strengthen collaboration. Concrete methods and interaction formats were tested to encourage participation and activate the team’s collective intelligence.

As a result, the team now shares a common understanding of how to run meetings that are productive, well-structured, and at the same time engaging. Meetings have become spaces for focused work, sustainable decision-making, and genuine participation—turning previously lost time into valuable, impactful work time.
